Concept
1. What is an ATS?
Most companies and job portals use an Applicant Tracking System to store and search resumes. It extracts your text into fields (name, skills, experience) and recruiters search it with keywords like "Power Query" or "MIS". If the software can't read your layout, your skills may not be found — even if a human would love the design.
2. ATS-safe formatting rules
| Do | Avoid |
|---|---|
| Single column, top-to-bottom | two-column layouts, sidebars |
| Standard headings: Summary, Skills, Experience, Projects, Education, Certifications | creative headings ("My Journey") |
| Real text bullets | tables, text boxes, columns for content |
| Standard fonts (Calibri, Arial), 10.5–12 pt | icons, skill bars, star ratings, photos |
| Dates like "Apr 2024 – Present" | dates only in graphics |
| Contact details in the body | contact info only in the header/footer |
| .docx or a text-based PDF | scanned PDFs, image-only resumes |
File name Firstname_Lastname_MIS_Analyst.pdf |
resume_final_new(2).pdf |
Quick test: open your PDF, Ctrl + A, copy, paste into Notepad. If the text comes out in the right order with all words, basic text extraction works; this does not guarantee parsing by every ATS.
3. The two templates
Download from resources/resume-templates:
- Resume_Fresher_ATS.docx — Objective → Skills → Projects first (your proof) → Education → Internships → Certifications.
- Resume_Experienced_ATS.docx — Summary → Skills → Experience first → Projects → Education → Certifications.
Both are single-column Calibri, with bullet lists, no tables or images, A4 size. Replace every [bracket] placeholder; delete sections you don't need.
4. Length and order
- Fresher / under 5 years: 1 page.
- 5+ years: up to 2 pages, most recent and relevant first.
- Put the strongest proof highest: for freshers, projects; for experienced, recent achievements with numbers.
5. Section tips
- Summary (2–3 lines): role + years + 2 strongest skills + one quantified result.
- Skills: grouped by type (Excel functions, data tools, reporting, automation) — specific words, not "MS Office".
- Experience/Projects: 3–5 impact bullets each (Lesson 2).
- Links: LinkedIn and GitHub portfolio as plain text URLs.
- Leave out: photo, date of birth, marital status, full address, references (unless asked).
6. One master resume, many versions
Keep a master file with everything. For each application, copy it and tailor the summary, skills order and top bullets to the JD (Lesson 3). Save as PDF unless the portal asks for Word.
Template examples: Replace all example identities, skills and achievements, not just bracketed placeholders. Keep only skills and results you can demonstrate. Label portfolio datasets as synthetic; sample projects are not employment experience.
Common mistakes
Canva-style two-column designs with skill bars. "Proficient in MS Office". Contact details only in the header. Two pages for a fresher.
