Concept

1. Cells first, shapes second

Many dashboard elements look best built in cells: fills for card backgrounds, borders only at the bottom of headers, Center Across Selection for titles. Cells never drift, print reliably and are fast. Use shapes only where cells can't do it (rounded corners, icons, overlays, buttons).

2. Card backgrounds with shapes

Insert → Shapes → Rounded Rectangle:

  • Fill white (or #F7F7F7), no outline or a very light one, optional soft shadow (Shape Effects → Shadow → Offset, transparency 80%+).
  • Right-click → Send to Back so cells/text boxes appear above.
  • Size with Alt + drag to snap to the grid.
  • Shape Format → Size → Properties: Don't move or size with cells for a fixed layout (or "Move and size" if you might insert rows/columns later).

3. Icons

Insert → Icons (Microsoft 365) — rupee, people, cart, truck, target. Colour them in grey or the accent; same size everywhere (e.g. 0.6 cm). Place top-left of each KPI card. For older Excel: symbols from the Segoe UI Symbol / Segoe MDL2 Assets font, or small PNGs.

4. Selection Pane — control every object

Home → Find & Select → Selection Pane (Alt + F10):

  • rename objects meaningfully (card_Revenue_bg, chart_Trend),
  • hide/show objects (great while building),
  • reorder (front/back). Group related objects (Ctrl-click → Ctrl + G) so a card moves as one.

5. Navigation buttons

Rounded rectangle with text "Details →" → right-click → Link (Ctrl + K) → Place in This Document → DETAIL!A1. Add a "← Dashboard" button on each detail sheet. Users never need sheet tabs.

6. Cell-based tricks

  • REPT bars inside tables: =REPT("█", ROUND(x/MAX(range)*15,0)) in the accent colour.
  • Unicode symbols for status: ● ▲ ▼ ✓ ✗ — with conditional font colour.
  • Hidden helper columns next to visuals (font white or group/collapse with Data → Group) — better to keep helpers in CALC.
  • Freeze a header band (View → Freeze Panes) if the dashboard scrolls.
  • Row/column outlines (Data → Group) to collapse a details area.

7. Final polish checklist

  • Gridlines and headings off (View)
  • Every object aligned to the grid, equal gaps
  • Objects named in Selection Pane, cards grouped
  • Shapes set to "Don't move or size with cells"
  • Navigation links work
  • Zoom set and A1 (or top-left) selected before saving

Common mistakes

Shapes that resize when someone changes a column width. Dozens of unnamed "Rectangle 37" objects. Heavy 3-D/shadow effects. Icons in five colours.

Exercises

mediumTurn your four KPI cards into finished cards: rounded-rectangle backgrounds, an icon each, all grouped and named in the Selection Pane, fixed position. Add a "Details →" button linking to a CALC or detail sheet and a "← Dashboard" link back.
Name groups Card_Revenue/Card_Margin/Card_Orders/Card_Target; align and distribute equal-size backgrounds. Keep the numeric values linked to CALC, use descriptive hyperlinks for Details and Dashboard, and test that grouped shapes do not block selectors or hide data when printed.
